What counts as a document?

One ribbon-button click that produces a Note on the timeline = one document. Failed renders don't count. Re-runs against the same record = new docs.

Every Templ8r plan is metered in documents per month. We try to keep the rule simple so there's never an "oh, that counts?" surprise on the invoice.

What counts

  • A successful generation that lands at least one Note on a Dataverse record's Timeline counts as 1 document.
  • Re-generating against the same record with the same template counts as another document. (You can do this freely — old Notes stay on the Timeline as version history.)
  • Bulk-generate from a grid: each successful row = 1 document.

What doesn't count

  • Failed generations — if the engine errored, no Note went to the Timeline, you weren't billed. We surface failures explicitly in the History view.
  • Preview-mode renders — opening the visual mapper preview against a real record renders blobs but skips Timeline push. Free, doesn't count.
  • Word vs PDF vs both vs both-zip — choosing "both" pushes 2 Notes to the Timeline but still counts as 1 document for billing.
  • Repeating rows — a single template with 50 line items rendered into a Word table = 1 document, not 50.

Why per-document, not per-seat?

Doc-gen value scales with usage, not seat count. A finance team of 6 generating 800 invoices a month is more value than 30 seats touching it twice. Per-document keeps the price aligned with the outcome you get; you're never paying for licences that sit idle.

Overage

Each plan has a monthly included allowance (Pilot 50 / Team 500 / Business 2,500 / Enterprise 10,000+). Above the allowance, soft-cap plans (Team / Business / Enterprise) keep generating and charge a low overage rate per doc:

  • Team: £0.20 / doc above 500
  • Business: £0.12 / doc above 2,500
  • Enterprise: £0.08 / doc above contracted volume

Pilot is a hard cap — it stops generating at 50 docs (or 30 days, whichever comes first) until you convert to a paid tier.

Want a hard cap on a paid plan?
Available on request — we'll flip the tenant flag and your tenant will return 402 Quota Exceeded once the included allowance runs out, no overage. Avoids bill surprise; trade-off is that mid-month generation grinds to a halt until the next billing cycle (or a manual override).

Where to see your usage

Open the portal at app.templ8r.co.uk/usage. Live counter, included quota, overage cost, and the days remaining in the current billing period. The same view drives email warnings at 80%/100%/120% (we manage those via Customer Insights — Journeys; opt out per-user from your account preferences).
